About Football Beyond Borders (FBB)
Football Beyond Borders (FBB) is an education charity that uses the power of football to support disadvantaged young people in the UK who are disengaged from school. We are a team of 80 staff working across three regions - London, North West and West Midlands.
Purpose of the Role
The London Office and Operations Manager plays a vital role in creating the conditions for Football Beyond Borders (FBB) to do its best work. Sitting within the Operations team, this role leads the day-to-day running of the London Office and supports the development of systems and processes that enable staff to focus on meaningful, relational work with young people.
This role is about care, connection and consistency. The postholder ensures that the London office is a safe, welcoming and well-functioning space, and that operational systems are clear, supportive and values-led. Working collaboratively across teams, the London Office and Operations Manager helps strengthen FBB’s internal culture by balancing strong operational practice with clear communication and responsiveness.
Core responsibilities include office and facilities management, administrative and project support, asset management, and ensuring compliance with organisational policies - always with people and relationships at the centre.

Responsibilities
Creating a Safe and Welcoming Office Environment
Lead the day-to-day management of the FBB London Regional Office and associated storage units
Ensure the office is a safe, inclusive, organised and positive working environment, aligned with Health and Safety requirements and FBB values
Develop, maintain and improve office systems and processes so that staff feel supported and informed
Take responsibility for opening and closing the office and coordinating meeting and room arrangements
Relational Operational Support
Act as a trusted point of contact for staff, responding to day-to-day operational needs with warmth, efficiency and care
Support colleagues by researching and arranging bookings for facilities, accommodation and travel
Coordinate practical arrangements such as postage, deliveries, kit and equipment, ensuring things run smoothly behind the scenes
Stock, Assets and Resources Stewardship
Manage all organisational stock, storage and assets across the London office and storage units
Maintain accurate asset registers and oversee the itemisation of assets, ensuring clear records, accountability and compliance
Oversee the ordering, distribution, storage and disposal of kit, equipment and IT assets, ensuring resources are well cared for, accessible and fit for purpose
Work proactively to improve systems for asset tracking and storage, supporting efficiency and reducing waste
Systems, Processes and Organisational Care
Develop and continuously improve organisational systems and processes, with a focus on clarity, accessibility and consistency
Support staff to use internal systems confidently, offering guidance and problem-solving support as needed
Play a key role in onboarding and induction, helping new staff feel welcomed, connected and well-supported from their first day
Partnerships, Training and Resources
Build and maintain positive working relationships with external premises maintenance providers and local community groups around Brixton
Produce and maintain internal training schedules, working closely with the Practitioner Training team to coordinate arrangements
Skills and Experience
Essential
Strong organisational skills and a high level of attention to detail
Confidence managing administrative and operational tasks efficiently and reliably
Ability to communicate clearly and respectfully with a wide range of internal and external stakeholders
Experience improving systems and processes in a way that supports people and organisational values
Strong understanding of good record-keeping and data management practices
Ability to work independently and proactively, while remaining collaborative and connected to the wider team
A reflective approach to work, with openness to feedback and learning
Ability to prioritise workload, manage competing demands and maintain a calm, steady presence
Desirable
Understanding of or experience with IT systems, digital tools, GDPR and HR policies and procedures
Experience working in the charity sector or within organisations focused on Young People
Familiarity with the contexts or communities FBB works within
Relevant training or professional development related to operations, facilities, or people support
